Depending on how you interact with us, we may collect:
- Identity and contact details such as name, work email, phone number, company and role.
- Project, product, Studio and support information, including requirements, budget range, timeline and files or links.
- Account, proposal, project, invoice and support records created during a business relationship.
- WhatsApp profile, phone number, messages, attachments, conversation choices and delivery or read status received through the WhatsApp Business Platform.
- Technical and analytics information such as browser/device type, approximate region, referring page, public pages viewed and consent choices.
- Security and operational records, including authentication, audit and error information where necessary.
3. Where information comes from
Information may come directly from you, your organization, website forms, WhatsApp or email conversations, consultations, product usage, support activity and service providers that help operate SafNexa. We may receive referral context when you initiate a WhatsApp conversation through an advertisement or website entry point.
4. How we use information
- Respond to enquiries and determine the appropriate product, service or team.
- Prepare consultations, proposals, Studio estimates, project plans and support responses.
- Provide, secure, maintain and improve SafNexa products and contracted services.
- Operate WhatsApp automation, preserve conversation history and enable human handover.
- Measure public website performance when optional analytics consent is granted.
- Prevent misuse and security incidents, meet legal/accounting obligations and enforce agreements.
- Send marketing only where appropriate permission or another valid basis exists, with an opt-out.
5. WhatsApp communication and automation
When you message SafNexa on WhatsApp, Meta processes the communication as platform provider and SafNexa receives relevant events through the WhatsApp Business Platform. Our automation may present options, collect limited project or support context, create a reference and route the conversation. A SafNexa employee may take over the same conversation.
Do not send passwords, verification codes, full payment-card information or unnecessary sensitive data through WhatsApp. Messages may be linked to an enquiry, Studio request, product account or support case so you do not have to repeat information.
6. Cookies and analytics
Essential storage supports website functionality and preferences. With consent, Google Analytics and PostHog may help us understand public-page visits, traffic sources, engagement and completed actions. SafNexa excludes admin, proposal, document, invoice and client-workspace routes from public analytics and does not intentionally send form contents or credentials to analytics. 8. Retention
We retain information for as long as reasonably necessary for the relevant enquiry, service, support, security, accounting, legal or contractual purpose. Some information may remain in protected backups or must be retained after a deletion request for legal, fraud-prevention, accounting, dispute or security purposes.
9. Security
SafNexa uses proportionate safeguards such as access controls, protected credentials, encryption in transit, audit records and restricted administration. No internet service can guarantee absolute security. Contact us promptly if you suspect an account or communication has been compromised.
10. Your choices and requests
Subject to applicable requirements and necessary verification, you may ask about information associated with you, request correction or deletion, withdraw optional analytics consent, or opt out of marketing. Use our Data Deletion page or email [email protected]. Necessary service and security messages may still be provided.
11. Children
SafNexa’s website and business services are not directed to children. If a product is used by an organization involving minors, the relevant organization and specific agreement must define responsibilities, permissions and safeguards.
12. Changes
We may update this notice as products, providers or requirements change. The latest version and update date will be published here, and material changes may be communicated through an appropriate channel.
